Electronic Work Orders in the Field
Preparing work orders electronically in the field means more work orders can be finished every day. The technician can prepare the work order as soon as the work
is complete. The system recognizes written signatures for both the tech and the customer. There is no longer any question of approval for invoicing. The tech is able to use handy pull-down menus that show
parts and labor rates. He just points and clicks to enter data into the correct field. Once the work order is complete, it is electronically sent to the home office for billing. Invoicing is a one-step
confirmation of the work order.
Projected Job Costs
The best way to project a job's profits is to constantly monitor the estimated cost to finish work items. The Work in Progress Report, located in the
Job Center, gives the project manager an updated status of where the job stands at any time.
Unit Costs and Unit Productivity per Hour
The Unit Productivity Report in the Job Center is the best way the project manager can measure his performance and compare it with the estimate. Keeping track of estimated versus actual unit production
will highlight problems early in the job. If the project manager learns early enough that the estimate called for 100 units per hour while the job is only averaging 75 units per hour, he may be able to
turn the bid item around.
Purchase Orders
Since the HVAC project manager spends most of his time on labor, a good material management system is necessary. A good purchase order system needs to handle either lot or lump sum purchase orders. For
example, HVAC contractors could negotiate a gear package to track individual shipments against the lump sum order.
Time and Material Billing
